Bookkeeper/Financial Administrator Vacancy

Job Purpose

The purpose of the job is to perform and coordinate the day to day financial processes and transactions of the organisation and support to the Office Manager.

Key Responsibilities

The incumbent will provide an effective and efficient bookkeeping and office management service to KZNA including month-end processing and reconciliation; payroll, project accounting; fixed asset management and control; general accounting; creditors and debtors administration; day to day office management.

Minimum Qualifications

Relevant degree (B.Com) or Diploma (B.Tech) in finance, accounting or Bookkeeping

Computer literacy specifically, Quickbooks and Microsoft Excel

Valid drivers license

3 years experience in bookkeeping and office administration

Primary Duties and Responsibilities

1.         Perform the day to day processing of financial transactions

ƒ   Verify that transactions comply with financial policies and procedures

ƒ   Prepare customer invoices in Quickbooks

ƒ   Process supplier invoices  in Quickbooks

ƒ   Prepare supplier payments Quickbooks

ƒ   Maintain listing of accounts receivable and payable in Quickbooks

ƒ   Maintain updated supplier files and file numbers

ƒ   Administer petty cash according to established procedures

ƒ   Month end duties as required

2.         Creditors administration

ƒ         On request get quotations for goods and services

ƒ         Prepare purchase orders for all goods and services on Pastel

ƒ         On approval place all orders with KZNA suppliers

ƒ         Match invoices, delivery notes and purchase orders received daily

ƒ         Verify, code and enter all invoices on Quickbooks

ƒ         Reconcile all suppliers to supplier statements

ƒ         Prepare payment requisitions based on supplier reconciliations

ƒ         Submit payment notifications to all suppliers after payment

ƒ         Attend to all customer/supplier queries

3.         Administration of all committee and staff claims

ƒ   Check, verify and reconcile all staff subsistence and travel claims

ƒ   Check, verify and reconcile all executive subsistence and travel claims

ƒ   Check, verify and reconcile all KZNA committee claims (travel, subsistence, telephone etc.)

ƒ   Check, verify and reconcile all District offices claims (S&T, telephone, meals etc.)

ƒ   Facilitate the payment of all the above claims

4.         General

ƒ   Maintain inventory files

ƒ   Monitor the usage (including additions, deletions etc.) of all inventory and stock

ƒ   Maintain a filing system for all financial documents

ƒ   Ensure the confidentiality and security of all financial information

ƒ   Assist with audit preparation

ƒ   Ensure that the EFT signatory profiles are functional

ƒ   Maintain funder contract file

ƒ   Print and distribute monthly financial reports

5.         Provide support to the Office Manager and Accountant

ƒ   Prepare finance committee meeting agendas and supporting material for distribution

ƒ   Ensure the timely distribution of material to the unit staff

ƒ   Support the Office Manager at meetings

ƒ   Draft minutes of finance committee meetings for review by office Manager. Create action list for staff from unit meetings

Education and experience

ƒ         Matric and Diploma in Bookkeeping/Accounting (NQF 7)

ƒ         3 years working experience as a bookkeeper accounts clerk preferably in a non-profit

ƒ         Good analytical ability, record keeping skills, mathematical ability are needed

ƒ         Ability to take responsibility and work under pressure

ƒ         Accurate, methodical and attention to detail is essential

ƒ         Computer literacy, Excel, Word, Outook, Quickbooks

ƒ         Confidentiality
